PNWU Calendar Help

the PNWU Calendar is a centralized scheduling system for all academic and non-academic scheduling. The following categories are a resource to assist you in using the PNWU Calendar. For additional assistance email scheduling@pnwu.edu.

Logging in

The PNWU Calendar may be accessed at calendar.pnwu.edu/portal

The Log in fields will appear when the user opens the PNWU Calendar or by clicking on the person icon in the upper right corner.

The Username is the first part of the user’s PNWU email address or the full WSU email address. For example “admission” for the email address admission@pnwu.edu.

The password is the PNWU network password of the user or password provided in an email.

Event Calendars

Event calendars are setup to be accessed with the left side menu of the PNWU Calendar Home page with or without logging into the system.

Clicking the Events menu opens a weekly calendar view.

Search Courses/Events

The search option on the left side menu allows users to search all activities in the PNWU Calendar.

Clicking the Search menu item opens the search options in the main window of the browser page.

Using the drop-down menu the search can be filtered to courses or events. Events is a broad term for everything that is not an academic Course.

Use the Calendar and Time fields to filter the search

Users may leave the Building field blank to search all locations or select one or more by clicking the building name, unclick the building name to remove the building from the search.

Note: Keywords search only searches “Event” description not the reservation description which is more specific.

Event Categories: External, Internal, Commencement, Orientation, Course Support, Student, Study

Once the user clicks the Search button a list of results will appear. At the top of the window a green box with search criteria will display. Click on the green Search Criteria box to change the criteria.

In the results table, click any of the column headers to sort the list.

The user may click on the Results Calendar button in the upper right corner of the results list to open all of the results in a calendar view. In the calendar view the user may toggle between Month or Week view by clicking the calendar icon in the upper left corner or click the vertical ellipsis in the upper right corner to select from Daily, Weekly, Monthly, or List view. The user may download the calendar to pdf or export to iCalendar.

Note: iCalendar will not update if/when changes are made to the scheduled event(s).

Click on an event in the calendar view to see any additional information.

Room Search

To search for activities in a specific room or rooms use the Rooms search option on the left side menu.

Clicking the Rooms menu item opens search options in the main window of the browser.

If not search criteria is entered all bookable rooms will appear in the list. Use the Building drop-down menu and Additional Room Criteria options to limit the results.

Click any column header of the results list to sort the list.

Click the Calendar View button in the upper right corner of the results to see a daily calendar for all search result rooms or click the Calendar icon in the far right column of the results list to see a calendar for that specific room. In the specific room calendar view the user may toggle between Month or Week view by clicking the calendar icon in the upper left corner or click the vertical ellipsis in the upper right corner to select from Daily, Weekly, Monthly, or List view. The user may download the calendar to pdf or export to iCalendar.

New Booking

The new booking menu item allows the user to reserve a room or request a room. The New Booking options will open in the main window of the browser.

Types of New Bookings:

  • Study Rooms: Students may book a study room for group study. See the Student Study Space webpage for usage details
  • Academic Course Support Request: Student tutors or recitation leaders may request a room for tutoring or recitation sessions
  • Self-Service Booking: PNWU and WSU employees may book a conference room or the recording studio
  • Event Request: PNWU and WSU employees may request a room or rooms for events, larger meetings, etc.
  • Academic Course Support Request: Faculty or faculty support staff may request a room or rooms for course related activities (i.e. exam review, open lab, etc.)

Steps to a New Booking

  1. Use the drop-down menu to select the type of booking needed.
    • The user will see the options based on their permissions in the system.
  2. Room Criteria (optional) may be used to filter the search options; building, room type, what is in the room (Characteristics), capacity, specific rooms.
    • Academic Course Support requests do not show room criteria. Enter preferred building(s), room(s), characteristics in the comments field later in the request.
  3. Select the time range and duration.
    • Note: use the pencil icon in the upper right corner of the clock pop-up window to change to an editable field.
  4. Use the calendar to see availability of room(s) that meet the criteria. Adjust the criteria to adjust availability options.
    • Academic Course Support requests ask for a specific date, a calendar is not shown.
  5. Select the date wanted on the calendar displayed
    • Study Rooms may not be booked on a recurring basis.
  6. Results will appear that meet the criteria set. Select the start time wanted.
  7. Select the room wanted.
    • Academic Course Support requests do not show room criteria. Enter preferred building(s), room(s), characteristics in the comments field later in the request.
  8. The Booking confirmation window will open. Answer any required questions and click the Submit button at the bottom of the pop-up window.

My Bookings

The My Bookings window allows the user to review their bookings, the status of their bookings, modify or cancel the bookings. Hover the mouse pointer over the Status icon to display the name of the status. Hover the mouse pointer over the Information icon to display the booking additional information.

Click on the booking row to open the booking window to see details and use the buttons in the upper right corner to Modify or Cancel the booking.

WSU Students

You will receive an email, to your WSU email address, from PNWU EnCampus with a link to click and create your user account.

Click the link and enter your first and last name and create a password. Select “Enable email notifications” and agree to the privacy statement.

Once your account is created you are now able to log into the PNWU Calendar.
